Expensify simplifies expense submission and management. Capturing receipts via camera makes it effortless. It would be a nice add-on feature if there is a way to link a credit card to Expensify that can automatically capture expenses and exchange rates.

We used Expensify to track, organize and approve our expenses related to clients and employees, and to create expense reports for clients.
  • The approval flows

  • Receipt capture/uploading is sometimes buggy.
  • Account management can be buggy, non-descript error messages are commonplace when trying to make changes or update information.
  • Support is a Teams-like chat interface that is bot-monitored. Takes time to get in touch with live help.
  • In my opinion, Support is deceptive and non-transparent regarding options related to billing.
It was very difficult to cancel service when we switched to an all-in-one accounting solution that included the expense features we needed. I tried to close our account through the settings and received an error message. Connecting with support was a bit of a task, but when I did, they let me know that I couldn't cancel until the annual term was up, understandable. I asked them at that time, specifically, "So, must I wait until the annual term is over to close the account and cancel billing; is there a way I can set it to auto-close when the subscription expires?" They replied that I would need to wait until the term was over to cancel and did not mention any other options.
I tried, when the term was up, 8 months later, to cancel and received the same error message. I connected with support, which again was somewhat of an onerous process. We had some back and fourth and, when the service was able to be cancelled, I received a message that I would be billed for the remainder of the month. This cancellation had already gone on for 2 mos. past the subscription term and I was billed at the full rate over that time as well.
I asked if there was any way I could be reimbursed for time past the subscription end and was told there was not because I should have requested that the service not auto-renew, which is ridiculous because it didn't auto-renew. I had turned off the auto-renew toggle in the account management; that was why it had defaulted to the month-to-month rate while we were troubleshooting the cancellation process.
I mentioned that I had not been told that was an option when I had originally requested the cancellation, even though I had asked specifically if it was possible. They maintained that there would be no reimbursement and the cancellation invoice and well as the two months of charges past the subscription end-date would apply.

We used Expensify for our expense management & corporate card platform until we found a better & more modern solution that was more cost-effective for my company and also provides a better customer experience than Expensify did for us. We are a mortgage brokerage so it is critical for us to have a system that helps manage business-related expenses for business development & loan operations purposes.

  • In my opinion, billing policies are deceptive and inflexible.
  • To me the system is clunky overall. Was hard to figure out how to configure properly
  • My team were not big fans of the report submission process.
I can't think of any scenario where a company should use Expensify in this day & age. There are newcomers to the market which are more feature-filled and far more economical for small businesses (think: free). And it's really hard for me to get beyond their terrible customer service with no accountability, and, in my opinion, their deceptive billing practices.

Expensify allows our team to quickly enter expenses on their website. It solves the problem of having to submit expense reports manually or having to save receipts. You can save receipts on your cell phone and send them to Expensify or upload them when you are submitting reports. It's easy to use so it requires little training or setup time.
  • Submitting expenses. It's easy to enter an expense, choose a category, enter the dollar amount and submit it. That's about it.
  • Uploading receipts. You can send receipts to Expensify from your phone, or upload them from your computer.
  • Entering hours worked. It's simple to move from expenses over to timesheets to submit the hours that you've worked.
  • Keeping their political opinions out of it. I shouldn't be emailed and told to vote for a certain candidate like they chose to do before the presidential election. I didn't sign up for Fox News or CNN.
  • Uploading duplicate charges. Duplicate charges are flagged, but sometimes I have multiple expenses for the same dollar amount and the same company. To get around this, I change the cents a bit ($19.99 for one and $20.01 or another).
  • Every once in a while it gets a little buggy when uploading a receipt, and I have to press the back button and start again. This is pretty rare though.
Expensify is perfect for a small team or a small business. It's affordable (I believe there is even a free version) and it is very easy to submit reports and to teach others how to submit reports. For a larger business, a one-stop shop for travel and expenses might be a better option. Larger companies might want more analytics as well, although Expensify does allow you to run reports.

Expensify is used across all departments to manage employee expenses and reimbursements. It does the expense approval workflow as well as the storing and capturing receipts to ensure proper accounting. It makes it easier to sort and track expenses made on company credit cards. It is also used for other expenses that are not related to travel.<br><br>

  • Web based version has a lot going on and you can be distracted.
  • The smartscan feature can be 50/50 at times. Perhaps they can provide more guidance on how to have a more successful scan?
Expensify is helpful in an organization where team members are traveling to places at the same time. Employees feel confident that it will be an easy process to submit any work related expenses.
It is smart enough and works well when there are many approvers and chains. With more improvements around scanning, I believe it can be a very convenient tool for companies to have.

Expensify is being used to record expenses across all our departments. It is solving the connection of expenses from employees to accountants. We have used this for over 2 years and it has really cut down on the amount of work that our team needs to do when worrying about expense reports.

We've used Expensify to manage our team's expenses for over four years. We mainly used it to track travel and events expenses. We like their service and depended on it for four years; however, this year we decided to end our service with them and find an alternative. This decision was primarily related to the increase in their fees and the degradation of their customer support.

  • Their pricing model is very complicated and keeps changing
  • Their customer service has deteriorated in the past two years
  • Pushing other products, such as their credit card, on customers by preventing them from keeping their current plans unless they include and pay for the new service.
Unfortunately after using their service for four years, now I don't recommend them to other colleagues. Expensify might be good for very large companies with unlimited resources looking to use all the features that Expensify offers, but even then, their customer service has deteriorated greatly in the past two years.

We used Expensify to manage our team's expenses, and they kept increasing their fees and finally they locked us into an annual agreement and changed their pricing model again. They customer support doesn't answer any questions; they keep sending links to their documentation and support forms instead of answering questions.

The entire organization is using Expensify. We use it to log any reimbursements we need as well as things the company has decided to cover for us; for example, our phone bills are covered if you're in sales, and Expensify is where I log that information every month.
  • Upload images from your phone or computer (receipts)
  • Alerts the financial team to approve or deny the expense
  • Links with your bank account for payment
  • Once you submit your expense, it is not submitted. You have to double back to your "home" and go from there actually to submit the expense.
  • I do wish that as those on the team are approving finances, it would tell you if someone has looked at it. Not just say it's approved.
Expensify is well suited for anything having to do with reimbursements. Anything along the lines of events, conferences, monthly stipends, anything your company says that you can submit a receipt and get a reimbursement for. It's easily tracked in the mobile app or online. You can see the log of what has been paid out in the past, as well as keep track of your finances.

We use Expensify across the entire company for reimbursements including documentation, approval, and payment. Currently, all reimbursements are approved by one person on the operations team. In the future, we will move to a department-based approval system. It keeps all documentation in one place and expedites the reimbursement process vs. one person manually processing the payments through our banking system.

  • Quick and clear communication - Employees know exactly when they'll be reimbursed.
  • The mobile app and web app don't have the same UX.
  • Smartscan sometimes takes a while.
It's an excellent, user-friendly system to manage the expenses process. In my experience, it's a quicker, easier tool than using a corporate-type system (eg. Workday) for the expense process. Unfortunately, when companies scale, they tend to adopt large scale corporate systems and Expensify hasn't figured out how to market and be used in those situations.

We use Expensify as our expense management platform, and I've been very impressed with it. It's intuitive, easy to use, and engaging. It reads your receipts and automatically inputs and categorizes your expenses, and it's really easy to submit your expense reports and get reimbursed. I appreciate that it sends reminder emails when you have a report that you haven't submitted yet.
  • An easy to use interface -- it's really self-explanatory.
  • AI/machine learning -- the system automatically reads your receipts and fills out your expense information, which saves time.
  • Sometimes the tool can take a little bit to read your receipts and input the information. Ideally, it would be a little quicker.
Expensify is really well suited to startups and medium-sized companies I think. The branding and experience is a bit lighter and more playful than previous tools I've used at a Fortune 500 company.

Expensify is being used across the organization as a way to track business expenses. Generally, capturing business expenses is a drawn-out, after-thought process, but Expensify is a user-friendly, mobile-app friendly tool that allows us to scan receipts as well as integrating with other 3rd party apps (Uber, Lyft) and corporate card reconciliation. It allows us to track business expenses easily so that we can focus on other things that drive the business.
  • It provides smart scanning of receipts, and autofills line items from receipts
  • Receipt integration with 3rd-party apps.
  • We've had incorrect "Disputes" at times when auto-scanning.
  • It's more user-friendly on the mobile app than on desktop.
Expensify is best suited to track business expenses on the go. The app has a great user interface and is user-friendly and, for the most part, auto-scans your receipts to automatically pre-populate important fields so that you don't have to.

We use Expensify across our entire organization for expense management, expense reporting, and employee repayment. We also have an interface with American Express that brings in all charges to each individual's expense report for company card purchases. This helps out with monthly expense reports for every employee in our organization.

  • It has some quirks with reading receipts.
  • The phone app sometimes loses receipts.
Expensify is a great product. It performs great, is easy to use, and we get very few complaints from both users and accounting folks who manage the reports on the backside. It has some great interfaces, good drag and drop for PC users, and an app for those that live on their phones.

We use Expensify to streamline the employee reimbursement process and to keep budgets in check. In the past, reimbursements would generally involve filling out paperwork and attaching physical receipts to those reports and then it would take weeks to get all the necessary managers to sign off on it. Expensify not only eliminated all paperwork, but it also gets approvals done quickly.
  • The interface is pretty simple and follows general trends with SaaS applications.
  • Automated workflows get approval requests in front of the necessary people quickly. This also keeps the requested up-to-date on the status of a reimbursement.
  • Understanding the true workflow between uploading a receipt and submitting a report can be a bit confusing.
  • The automated receipt processing doesn't always work. Many requests end up having to be manually entered.
Growing companies (around 300 employees) who end up processing reimbursements several times per day would probably start seeing the ROI of Expensify. Smaller companies or companies that don't deal with a lot of employee reimbursements most likely won't benefit from Expensify. Not sure how well a large enterprise company would benefit from Expensify.

  • Reimbursement for office tools/accessories
  • Reimbursement on travel expenses (meals, hotels, tickets, etc.)
  • Reimbursement for meetings (prospects, partners, clients)
  • Intuitive straight forward interface.
  • Quick and easy to create expenses and send to appropriate managers.
  • Navigating existing reports/adding to it can be a bit confusing at times.
  • Search function could be a bit better.

We use Expensify for all of our internal expenses. We buy a lot of props with allotted client budgets to create our digital ad content. All of these items need to be tracked and allocated to separate client budgets. We also track all of our travel costs here for reimbursement.
  • Simple, intuitive UI design (even with limited training, I was able to start using it immediately).
  • Customization with lots of options on how to track your expenses and how you want to provide receipts/documentation.
  • Integration with banking systems to improve expense tracking.
I only have good things to say about Expensify. It's really simple and intuitive to use. I am no the most tech-savvy individual, so if a user-interface is cumbersome or not intuitive I will struggle with it. But with Expensify, I was able to start using the product with little to no training. Expensify is perfect for our company's needs where we have lots of people buying lots of items & travel expenses that need to be tracked against different contracts and categorized against different parts of client budgets. When you classify an expense, there is a lot of customization available to help give finely granular classifications.

Expensify is used throughout my company for both expense reimbursements and company card transactions. It increases spending accountability while also allowing users to easily submit receipts through their accounting and payment process. The online interface is adequate, but the mobile app is probably the best feature for the typical user. You can photograph your receipts on your phone at the time of purchase and then easily upload them into Expensify when the charge posts.
  • The mobile app is my favorite feature. I much prefer photographing my receipts inside the app versus scanning them and uploading them on my desktop.
  • GL items are fully customizable according to the unique needs of your organization.
  • Expenses automatically port into a rolling report, but you can make your own reports and recategorize expenses depending on your own personal preferences.
  • You can create triggers that allow Expensify to automatically populate some of your expense details, but in my opinion, this function could do a lot more.
My company is in the midst of a transition away from Expensify and toward a competitor. I don't know what made that decision, but I'm not looking forward to it! Expensify has always been easy to use for me and my team. I can't think of any company where it would not be useful.

Two of our big companies have company credit cards, and we are also managing one owner's personal credit card, as well as all the employees' expense reimbursements across all companies. It allows us to easily capture expenses, generate reports, review and approve various expenses using different policies. It has a simplified cloud-based interface.
  • Super easy to capture receipts, you can snap a photo of your receipt and email it to the designated email for it to post.
  • Can input several receipts at the same time and drag and drop receipts to be attached to the expense.
  • For some reason, attaching a receipt to the expense takes a long time and sometimes it fails.
This program is so user friendly and easy to use. You can use it any time anywhere, for example, right after you pay for your expenses. It makes uploading and recording employee expenses so much easier and faster, and as a result employees get reimbursed faster. The reports generated are very easy to understand. We use Expensify to manage all of our organization's expense reporting and expense reimbursement. It makes expense reporting a breeze and allows our users to get reimbursed for their expenses in a timely manner. For the accounting department, Expensify has made their job 1000 times easier and for our IT department, we have less problems reported as we do not have to provide support for an on-premise solution.
  • Expensify's mobile application makes on-the-go expense reporting easy. Just scan your receipts from your phone and they are automatically added to your expense report.
  • Users don't have a difficult time creating and submitting expense reports because the process is almost fully automated.
  • Setting up policies and expense report templates is a breeze with the very friendly administration GUI.
  • Expensify integrates with Okta easily for a perfect SSO solution.
  • The web GUI can be a bit misleading at first. However, using it a few times, users figure out where to go. I just wish the menus were a bit easier to navigate.
  • Setting up SSO via Okta did not work the first time we tried it. I had to call in support for assistance, it turned out the instructions we were using from Okta were a bit off, so Expensify had to update a setting on our account to get it to work properly.
  • Customer support was a bit slow to respond to my request for help. I'd like to see a bit faster response time.
Instead of managing expenses via Excel or complicated forms, or even worse, paper, I'd recommend switching to using Expensify to manage all of your company expense reporting needs.

Expensify is used across our entire company for easily submitting business expenses. Regularly traveling for client meetings and events across the country means that I'm constantly submitting expenses to be reimbursed. What used to be a tedious process of sorting through receipts that got pushed to the end of the month is now easily done the first morning back in the office.

Our team travels a lot, usually twice a month to meet with clients and such. We use to do expenses by entering line items into an Excel form and manually submitting these for approval by our manager and then to finance for reimbursement. Since bringing in Expensify, my time spent doing expenses has been significantly reduced and it actually made it this task an enjoyable experience. First off, the mobile experience is clean and powerful. I now enter expenses on-the-go by using the app's built-in camera function to snap a picture of the receipt and using the "SmartScanning" function which uses an OCR-like software to read and complete the expense fields from the receipt. I've found it to be very accurate and I've rarely had to adjust any of the auto entries. Another great function of the app is the ability to generate a receipt for mileage by selecting two points on a map and letting it calculate mileage. Between the "SmartScanning" or receipt and automated mileage entries, this alone makes Expensify the tool to have to bring your expenses into the 21st century. The web portal is also very easy to use but I am mostly a mobile user.
  • Powerful mobile experience, truly designed for professionals on the go. The mobile app isn't just a data entry tool, it scans receipts, generated mileage receipts and manages expenses. You can also do it all from the app, from creating reports to submitting them for approval and seeing the status of your reimbursement.
  • The interface on both mobile and the web is clean, well laid out, easy to use and a breeze to navigate. My team and I needed zero training on how to use this, it is THAT simple. I tend to have several expense reports going at once and they need to be segregated as they're billed back to clients, the ease with which I can classify my individual expenses is a great timesaver.
  • The help feature within the app is easy to use, articles are available through a built-in search and you can also start a conversation with support.
  • The OCR algorithm for the "SmartScanning" isn't always right and it seems to make the same mistakes, I wish it could learn from user corrections.
  • When entering receipts manually or through "SmartScanning", I ALWAYS have to enter my department although it never changes. I wish I could set this in my profile and have it entered automatically into every receipt.
  • The app and web interface should allow for 2FA given the confidential nature of the information stored on their systems.
Expensify is very well suited for professionals on the go, the mobile experience is fully featured and there's no need to even use the web portal unless you're tired of looking at your phone screen. The ease and speed with which I can enter, organize and segregate my expenses have allowed me to spend more time on other tasks as I now enter m expenses in real-time as soon as I get the receipt by using the built-in camera. In the event that I lose a physical receipt, I already have it in the app and this is now a non-issue.

Expensify is being used across all of our departments for all charges incurred (travel, food, incentives, etc). Regardless of your position (from jr sales agent to CEO) all employees use it. It addresses the problem of keeping track of hundreds and even thousands of transactions that need to be accounted for. It's easy to use and integrates well with TravelBank.
  • Easy to use. It really doesn't take any training, as the interface (both mobile and desktop), are very easy.

  • The mobile app is excellent. It allows you to just take a picture of the receipt and easily tag the expense.
  • There is a feature on the mobile version that is supposed to automatically take the information on the receipt and load it into the expense form, but it's never worked for me.
Expensify is well suited for any company (small, medium, or large). It takes away a lot of the administrative work required to classify expenses and gives the person making the purchase the ability to appropriately tag the expenses. I don't think there is a scenario where it is less appropriate.

At Numerify, we use Expensify to log all expenses, from entertaining clients, to transportation, to travel related meals, and more. We also use a travel booking software, which has seamless integration with Expensify so that all of our airfare and hotel expenses automatically sync with Expensify, which makes it very convenient.
  • Ease of use of the mobile app with push notifications that keep you updated on the status of your expense report(s).
  • Direct integrations with travel booking software that automatically pulls those expenses into the Expensify app.
  • The receipt reader that allows users to take a picture, and the data is extracted into Expensify.
  • The receipt reader sometimes can't automatically put the expense in the correct category, as each company categorizes expenses differently.
  • Sometimes you'll receive an error alert, but it doesn't specify why. This is usually related to your company admin's settings, however.
  • If you accidentally press the + sign sometimes, it creates an additional report where you can't delete the report on the app and have to do it on the web page.
It's very appropriate for employees where you incur several expenses. I can't think of a situation where it's not well suited for working professionals that have to track/submit expense reports. It's less appropriate for those that don't incur a lot of expenses, as it might be inconvenient for employees like that to have to submit a report for a dollar amount that is so small.

We leverage Expensify in consolidating, batching, coding, approving, and reimbursing credit card and reimbursable expense reports for individuals within our organization. The software is utilized by users across MANY departments within our organization. However, the accounting/finance department is tasked with orchestrating the process. Expensify has done a great job of moving our company away from "sloppy" MS Excel expense reports. Now, we have a convenient web-based tool which allows users to execute most necessary functions from their desktop or smart phone.
  • Expensify allows a company to establish simple approval rules and pipelines. The days of remembering who approves which user's expense reports are in the past.
  • Expensify allows users to easily code their expenses to the accounting department's general ledger. During implementation, the accounting team is tasked with creating a map between simple categories/description and general ledger account codes. E.g., Telephone -> 66150
  • The mobile app allows users to quickly take photos of their receipts/invoices/supporting documents on the go. Our CEO LOVES the ability to upload support to the app as he is signing the check at a restaurant.
  • The software downloads corporate credit card data daily. Furthermore, they mark "verified credit card transactions" with an icon that indicates as much.
  • The administration has the ability to request "copilot" access to user's accounts. This allows curators the ability to help users follow best practices.
  • Some users have complained that their receipts do not always upload from their mobile phone. Unfortunately, this means that the user (or the accounting department) needs to request copies of support/documentation from vendors.
  • If the tool is not implemented correctly, it can lead to some nightmarish situations down the road.
  • Expensify should work to add all desktop capabilities to their mobile application.
Expensify is well suited for companies that are sick and tired of coordinating the creation, submission, approval, and coding of hundreds/thousands of expense reports across their organization. In most cases, the software would pay for itself pretty quickly, especially if the company doesn't have that many users. The maintenance of expense reports can be an EXTREME drain on accounting resources.
